How Ponte Vedra Plastic Surgery Slashed Lead Conversion Times
By: Antony Reddington | November 30th, 2021

Lead management remains a problem area for many small to medium-sized practices. Whether due to time constraints or a lack of best practices, poor lead response times can cost a practice when it comes to gaining new patients. Consider the following statistics:
- 48 percent of the time, practice staff never follow up on leads
- The average time for the first follow-up to a lead is 72 hours
- Only 25 percent of practices make two contact attempts
- 64 percent of practices do not have an organized plan for following up on leads
The above statistics are even scarier when you consider that 35 to 50 percent of sales go to the vendor that responds first. So, this raises the question—how do you make sure your practice is able to respond first? The answer is simple… MyMedLeads.
To address the need among our users for better lead management options, Nextech acquired MyMedLeads in January 2021. And already our clients are experiencing a number of significant benefits. To discover how MyMedLeads helped their practice succeed, we recently sat down with the providers and staff of Ponte Vedra Plastic Surgery.

A Slow & Disorganized Mess
Ponte Vedra Plastic Surgery had switched from MyMedLeads to utilizing a different lead management software for 8 months. It did not take long before the practice reversed course and returned to MyMedLeads. A request from Ponte Vedra’s marketing department was the reason for the initial switch, but the change ultimately proved to be more trouble than it was worth.
The rollout took longer than expected, and they quickly found the new platform made it difficult to tell if a lead had been touched and who was managing it. It was impossible to look up patients in the follow-up tab and too many irrelevant fields had to be filled out. Leads were not converting correctly, and the program was extremely slow, making it awkward when on the phone with clients as they waited for the next screen to load.
Better Lead Management via MyMedLeads
Ponte Vedra Plastic Surgery learned quickly that the other software was not the best solution and switched back to MyMedLeads to enjoy a quick, seamless integration and instant one-touch lead-to-patient conversion between MyMedLeads and Nextech.
In addition to streamlining the lead-to-patient conversion process, MyMedLeads offers several other tools to increase productivity including appointment reminders, marketing automation, and performance analytics. With MyMedLeads doing much of the heavy lifting, the Ponte Vedra team can focus on providing world-class care to their patients.
With their previous solution, they were sometimes spending as long as 4-5 minutes to convert leads to the practice’s scheduling database. Needless to say, this was highly inefficient. After switching back to MyMedLeads, they were again able to perform this same task in less than 30 seconds. That's a huge time savings!
The Result
With efficiency obstacles removed, the staff at Ponte Vedra Plastic Surgery are experiencing immediate improvements in productivity. MyMedLeads makes it easy to visualize the practice’s sales funnel, including how many leads there are, which stage each one is in, and what steps need to be taken to move them closer to becoming a patient.
In addition to integration improvements and time savings, Ponte Vedra Plastic Surgery also experiences positive impacts on their marketing spend because of the reports that MyMedLeads generates. The practice’s team now has all of the tools it needs to track and manage leads in one convenient, easy-to-use platform.
